Job Description

The successful candidate will be coached and supported to deliver all aspects of the company's logistics execution (both inbound and outbound). The role is crucial for maintaining efficiency and managing the cash cycle. Key expectations include maintaining high-integrity system records, liaising with stakeholders and service providers, delivering regular reporting, and demonstrating strong collaboration, curiosity, and problem-solving skills to achieve KPIs. A high degree of integrity, dynamism, responsibility, and creativity is expected.

Based on-site in Namanve, this entry-level Exports Documentation Analyst role offers hands-on training within the vibrant coffee manufacturing sector. You will work closely with internal teams, customs authorities, and freight forwarders to manage export documentation, ensure full regulatory compliance, and track container shipments from origin to final destination. Success in this position requires a keen eye for detail, proactive communication, and a strong drive to learn supply chain processes from the ground up.

Key Responsibilities

Prepare shipping documentation (packing lists, booking confirmations with the shipping line).
Obtain and verify certificates of origin, phytosanitary certificates, and coordinate export declarations and customs documentation.
Prepare shipping instructions for the shipping line/freight forwarder.
Verify, issue, and dispatch accurate documentation to customers upon vessel sailing.
Coordinate with various internal teams (Warehouse, Quality, Trade), freight forwarders, and shipping lines.
Track container loading, dispatch, shipping, and shipment documentation deadlines.
Follow up on the issuance and release of final bills of lading.
Communicate shipment updates to both internal and external customers.
Verify that export documentation meets destination requirements and complies with East African customs rules and regulations.
Maintain both electronic and physical records for every shipment.
Update shipment registers and documentation tracking systems.
Prepare regular shipping update reports.
Monitor documentation errors, shipment delays, and outstanding certificates.
Ensure adequate records of all costs related to shipments and support their control and reporting.
Support the Head of Logistics with any assigned tasks.

Qualifications

A graduate degree in Supply Chain Management, Logistics, Administration, or a related field is desired.
No previous logistics experience is required. The company explicitly states that the correct attitude, humility, communication, teamwork, and demonstrated interest are the major determinants for selection.
Excellent communication skills in English.
Ability to handle multiple tasks with close attention to fine detail.
Proficiency in Microsoft Teams, Word, and Excel is a plus.
Experience with Microsoft Lists is desired.
