People & Performance Intern

We have been operating in Uganda since 1997, guided by four impact areas shaped by young people: Voice and Democracy, Education and Livelihoods, Gender and Sexual Health, and Climate Justice. We support young people to influence decisions, access quality education and sustainable livelihood opportunities, advance sexual and reproductive health and rights, promote gender equality, and lead action towards a just and sustainable future. We currently work in 26 districts across Northern, North-Eastern, Central and Eastern Uganda, with offices in Kampala, Jinja, Moroto and West Nile.

The People and Performance Intern plays a critical role in supporting the organization's administrative functions while offering individuals an opportunity to gain practical insights into HR practices, performance management, and workforce development.

An opportunity has arisen for a People & Performance Intern at Restless Development based in Kampala.

Working within a supportive team, the post-holder will be expected to plan and prioritise their own workload, communicate clearly with stakeholders, and maintain high standards in every task. Previous experience in a comparable position is highly desirable.

• Filing and Documentation (40%): Create new personnel files and update internal databases with new employee information, including contact details and employment forms.
• Support the proper maintenance of employee files and ensure they are kept up to date.
• Assist with collecting signed staff timesheets on a monthly basis.
• Support leave management by keeping updated records of staff leave days on the BambooHR system.
• Support the performance management process by ensuring that staff performance reports are fully updated in the system on time.
• Assist with filing, scanning and organising staff documents for easy retrieval.
• Support the updating of staff records and other relevant HR information as required.
• Ensure proper handling and confidentiality of employee files and other HR documents.
• Recruitment Support (10%): Assist with the smooth induction of new staff by ensuring they receive induction packs and associated information.
• Prepare materials for orientation and assist in conducting orientation sessions as required.
• Assist in conducting reference and background checks for prospective employees.
• Support the preparation and organisation of recruitment documents.
• Assist with scheduling interviews and communicating interview arrangements to candidates as required.
• Support the preparation of onboarding documents for newly recruited staff.
• General HR Administration and Office Support (40%): Provide administrative support across the Hub on all HR and People & Performance matters.
• Make requests for scheduled staff trainings, support logistics and coordination, and participate in organising organisational events.
• Support logistics for meetings, including travel arrangements, accommodation and coordination of attendees.
• Assist with the implementation of HR policies and procedures.
• Support the annual internal and external audit processes by organising and preparing relevant documentation.
• Take minutes in internal People & Performance meetings as required.
• Support the coordination of the Hub Monday Morning Meetings (MMM).
• Provide data entry and general administrative support for staff information and the wider administrative support team.
• Assist with preparing and organising documents for staff meetings, trainings and other HR activities.
• Support the coordination of staff welfare activities and other employee engagement initiatives.
• Assist with following up on outstanding HR documents and administrative tasks as guided by the supervisor.
• Front Desk Management (5%): Serve as the first point of contact for guests and clients who have appointments with staff.
• Receive and sort mail and all deliveries to the responsible persons.
• Perform general clerical duties, including photocopying, scanning and mailing.
• Maintain a clean and orderly reception area.
• Responsible for evacuation in case of emergencies.
• Direct visitors to the appropriate staff members and provide basic office information as needed.
• Assist with maintaining visitor records and ensuring visitors are directed appropriately.
• Other duties as required (5%): Perform other duties as required, including occasionally working on weekends and holidays for which time off in lieu can be taken.

• A Bachelor’s Degree or Diploma in Human Resource Management, Industrial and Organisational Psychology, Business Administration, Public Administration, or any other related discipline.
• Strong organisational skills and attention to detail.
• Good communication and interpersonal skills.
• Willingness to learn and support various People & Performance functions.
• Familiarity with BambooHR or other HR information systems.
• Proficiency in Microsoft Office Suite, with knowledge of data analysis tools considered an added advantage.
• Ability to organise tasks, work independently and meet deadlines.
• Good record keeping and basic data management skills.
